The Strategic Planning Office is a function at ICTS-TIFR, responsible for building philanthropic and institutional support for the centre. The office is in its foundational phase, establishing the processes, systems, donor intelligence, and cultivation infrastructure that will support fundraising activity over the coming years. 1. Business Analyst (Strategic Planning Office)
Essential Qualifications & Experience:
-
Graduate degree in Science or Commerce from a recognized University/Institute.

3 to 5 years of experience in a role with substantial analytical, research, or systems responsibility.

Demonstrated ability to structure ambiguous problems, gather relevant information, and produce written analysis to a quality that supports institutional decisions.

Strong command of spreadsheet-based modelling, structured document preparation, and standard office productivity tools.

Fluency in written and spoken English.
Desirable:

Candidates should be a structured thinker.

Post-graduate degree or diploma is a plus.

Graduates from study areas such as Statistics, Analytics, Data Science, Mathematics, etc. are preferred

Job Profile:
Research and intelligence
-
Conduct structured research on prospective donors, i.e individuals, family offices, foundations, and corporates. Create profiles that combine capacity, inclination, and connection information.
-
Support historical donor analysis, including reconstruction of past giving, fund deployment, and relationship history from institutional records.
-
Track developments in Indian and international philanthropy, science funding, and comparable institutions, and flag material developments to the CRDO.
-
Maintain and update a working reference base on regulatory and structural matters like FCRA, endowment management, tax treatment, and TIFR-routing conventions.
Analytical and planning support
-
Support the annual planning cycle, including budget preparation, target-setting, and tracking of progress against the plan.

Prepare analytical inputs for pitch development, gift structuring, and donor conversations, including gift table and pricing work.

Model scenarios for institutional needs, portfolio composition, and funding-mix questions.
-
Build and maintain dependency maps, progress trackers, and internal dashboards for major deliverables.
Systems and process design

Contribute to the design of internal processes across the office, including donor management, cultivation cadence, stewardship protocols, and reporting workflows.

Support the specification, build, and rollout of the Donor Management System, including data model, user flows, and reporting layer.

Maintain the office's document architecture, including templates, classification schemes, and record structures to a standard consistent with a research institution's audit and governance requirements.
Documentation and reporting

Draft internal notes, meeting summaries, and briefing material for the CRDO, as well as for the Director and governance bodies when necessary.

Prepare the weekly and periodic reporting cycle for internal audiences.

Maintain the office's institutional record, including meeting records, decisions, and information points as a permanent and referenceable log.

2. Development Specialist (Strategic Planning Office)
Essential Qualifications & Experience:

Graduate degree in any discipline from a recognized University/Institute.

5 to 7 years of experience in a role with substantial client, donor, or stakeholder relationship responsibility and experience in planning and executing events for senior audiences.
-
Ability to manage a portfolio of relationships with attention to detail, consistency, and follow-through.
-
Strong written communication in English, including the ability to draft personalised, appropriately pitched correspondence for senior donors and institutional audiences.
-
Comfort with CRM systems, structured record-keeping, and standard office productivity tools.
-
Fluency in written and spoken English.
Desirable:

A post-graduate degree or diploma is a plus.

Working competence in a second Indian language is a plus.

Graduates from study areas like communication, marketing, public relations, or social sciences are preferred.

Job Profile:
Prospect cultivation support

Support the CRDO on the cultivation of prospective donors, including outreach coordination, meeting scheduling, briefing preparation, and follow-through on agreed next steps.

Maintain the working rhythm of touchpoints for prospects in the pipeline, such as meetings, calls, updates, invitations, under direction from the CRDO.
-
Prepare pre-meeting briefs and post-meeting notes for prospect interactions, capturing decisions, next steps, and updates to the donor record.
Donor stewardship
-
Manage the ongoing stewardship of existing donors, including periodic updates, milestone acknowledgements, event invitations, and reporting on fund utilisation.

Draft and manage personalised donor communication, including acknowledgement letters, impact updates, and per-donor reporting.

Coordinate periodic donor engagement, such as campus visits, meetings with faculty, participation in ICTS events, ensuring the donor experience is consistent and professional.
Donor and prospect events

Plan and execute donor-facing events e.g. dinners, campus visits, small convenings etc., including logistics, guest management, briefing packs, and post-event follow-through.

Coordinate with the CRDO on event strategy and with faculty on participation and content.

Maintain event records, attendee lists, and follow-up trackers as part of the office's operating record.
Faculty coordination
-
Coordinate with faculty on donor-facing activity e.g. briefings ahead of donor meetings, faculty participation in donor events, and follow-up on donor questions requiring faculty input.

Manage the internal logistics between faculty availability and donor expectations, ensuring commitments are met on both sides.
CRM and pipeline discipline

Maintain donor records, activity logs, and pipeline stage information in the Donor Management System. - Ensure the CRDO has an accurate and current view of the portfolio at all times.

Support the office's reporting cycle with timely pipeline and stewardship inputs.

Appointments for the above will be initially for one year, which may be extended depending upon the individual’s performance and the requirements of the Centre.
